Our office hosts many visitors from around our firm, as well as clients and candidates daily. Our goal is to present each with a warm, professional, and discreet experience. The Office Manager/Receptionist desk serves as the first voice, face, and service experience for many within and outside our firm, and it must embody our brand promise. Main Responsibilities 

  • Greet/welcome all clients, candidates, and visitors, offer a beverage, and escort individual to the appropriate location within the office.
  • Serve as local point of contact for scheduling and maintenance of internal and external videoconferences, conference room space, as well as allocation of office space
  • Provide administrative assistance to consultants, visiting consultants, the administrative manager, and EA staff with search-related production and data entry requirements, including document creation (progress reports, candidate presentations, and other routine correspondence).
  • Assist with ad-hoc projects for client events and Swiss office gatherings, including on-site presence, capturing invitee data in our software, and preparing necessary materials.
  • Prepare for internal meetings, including catering and special orders
  • Handle incoming and outgoing mail and deliveries
  • Responsible for maintaining/ordering all office supplies, production room materials, café grocery orders and other materials, as requested.
  • Answer/handle all main switchboard calls in a timely and efficient manner.
  • Maintenance of printers (toners, papers, repairs)
  • Manage reception-related suppliers’ invoices
  • Coordinate parking overflow
  • Serve as the main contact for the Building Manager and office cleaners
  • Support IT Leader
  • Assist with select additional office administration tasks

 Qualifications and Skills         

  • Always exhibit a professional presence and appearance, as well as sensitivity regarding the confidential nature of executive search.
  • Possess and exhibit a high degree of comfort working in a fast-paced and openly communicative, yet confidential, environment
  • High level of integrity, adaptability, sense of anticipation and quality, attention to detail, self-starter; decisive; productive and well-organized.
  • Commercial education (KV) or higher
  • Perfect oral and writing proficiency in German and English,
  • Proficient MS Office kledge
